2. What data we collect
We collect the following data when you use QuotIQ: Account data: your name, email address, and company name provided at registration. Email data: when you connect your Microsoft Outlook account, QuotIQ reads incoming emails to detect freight quotation requests. We do not store email body content beyond what is needed to generate a quote. Quotation data: origin, destination, weight, dimensions, client email, and generated quotes. This data is stored to provide the service and improve your AI margin engine. Usage data: pages visited, features used, and interactions with the dashboard — collected to improve the product. Payment data: billing is handled entirely by Stripe. QuotIQ does not store credit card numbers or payment details.
3. Legal basis for processing (GDPR)
We process your personal data on the following legal bases under GDPR Article 6: Contract performance: to provide the QuotIQ service you have subscribed to. Legitimate interests: to improve the product, prevent fraud, and ensure security. Consent: for marketing communications, where applicable. You may withdraw consent at any time.
4. How we use your data
We use your data exclusively to: — Provide and improve the QuotIQ service — Generate air freight quotations on your behalf — Train your personal AI margin engine (your data is never shared across accounts) — Send service-related communications (account, billing, feature updates) — Comply with legal obligations
5. Data sharing
We do not sell your data. We do not share your data with third parties except: Supabase (database infrastructure, EU data centers) Stripe (payment processing) Microsoft (Outlook OAuth2 integration) Vercel (hosting infrastructure) All processors are GDPR-compliant and operate under data processing agreements.
6. Data retention
We retain your data for as long as your account is active. If you cancel your account, we delete your data within 30 days upon request, except where retention is required by law (e.g., financial records, 7 years).
